1. Acceptance of Terms

By accessing or using MeetingWiz ("the Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, please do not use the Service.

These Terms apply to all users of the Service, including event organizers and participants.

2. Description of Service

MeetingWiz is a web-based meeting scheduling tool that allows users to:

  • Create scheduling events to find common availability among participants
  • Share availability preferences through an intuitive interface
  • Optionally integrate with calendar services (Google Calendar, Microsoft Outlook)
  • Receive email notifications about scheduling activities
  • View aggregated availability and determine optimal meeting times

3. User Accounts and Responsibilities

3.1 No Account Required

MeetingWiz does not require traditional user accounts. Access to events is controlled via unique share tokens and edit tokens.

3.2 Token Security

You are responsible for:

  • Keeping your edit tokens confidential (do not share publicly)
  • Only sharing share tokens with intended participants
  • Understanding that anyone with a token can access the associated event

3.3 Accurate Information

You agree to provide accurate name, email, and availability information when using the Service.

4. Acceptable Use

You agree NOT to:

  • Use the Service for any unlawful purpose or in violation of these Terms
  • Attempt to gain unauthorized access to the Service or other users' data
  • Interfere with or disrupt the Service or servers
  • Use automated systems (bots, scrapers) without permission
  • Send spam, phishing attempts, or malicious content through the Service
  • Impersonate others or provide false information
  • Harass, abuse, or harm other users
  • Use the Service to collect email addresses for marketing purposes

5. Calendar Integration

5.1 Optional Feature

Calendar integration is entirely optional. You can use MeetingWiz without connecting a calendar.

5.2 OAuth Consent

By connecting your calendar, you grant MeetingWiz:

  • Read-only access to view your busy/free times
  • Permission to query your calendar within specified date ranges
  • The ability to create calendar events on your behalf (when finalizing meetings)

5.3 Disconnection

You may disconnect calendar access at any time through your Google or Microsoft account settings. This immediately revokes MeetingWiz's access to your calendar.

6. Email Communications

By using the Service, you consent to receive:

  • Transactional Emails: Event creation confirmations, participant responses, meeting decisions
  • Notifications: Updates about events you created or joined
  • Calendar Invites: .ics files when meetings are scheduled

You cannot opt-out of essential transactional emails related to events you participate in, but you can configure notification preferences in event settings.

7. Data and Privacy

Your use of the Service is also governed by our Privacy Policy, which explains how we collect, use, and protect your information.

Key points:

  • Events automatically expire after 30 days
  • Calendar access tokens are encrypted and deleted after 30 days
  • You can request data deletion at any time

8. Intellectual Property

8.1 Service Ownership

MeetingWiz and its original content, features, and functionality are owned by MeetingWiz and are protected by international copyright, trademark, and other intellectual property laws.

8.2 Your Content

You retain ownership of any content you submit to the Service (event details, availability data). By using the Service, you grant us a license to use, store, and display this content solely for the purpose of providing the Service.

9. Disclaimers and Limitations

9.1 Service Availability

The Service is provided "as is" and "as available" without warranties of any kind. We do not guarantee that the Service will be uninterrupted, secure, or error-free.

9.2 Calendar Accuracy

While we strive for accuracy, we cannot guarantee that calendar integration will perfectly reflect your availability. You should verify all meeting times before committing.

9.3 Third-Party Services

The Service integrates with third-party services (Google Calendar, Microsoft Outlook, email providers). We are not responsible for the availability or functionality of these third-party services.

9.4 Limitation of Liability

To the maximum extent permitted by law, MeetingWiz shall not be liable for:

  • Any indirect, incidental, special, or consequential damages
  • Loss of data, profits, or business opportunities
  • Missed meetings or scheduling conflicts
  • Unauthorized access to your data due to token sharing

10. Termination

We reserve the right to suspend or terminate your access to the Service at any time, without prior notice, for conduct that we believe violates these Terms or is harmful to other users or the Service.

Events automatically expire 30 days after creation. You can request immediate deletion by contacting us.

11. Changes to Terms

We may update these Terms from time to time. We will notify users of material changes via email or prominent notice on our website. Your continued use of the Service after changes constitutes acceptance of the updated Terms.

12. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the United States, without regard to its conflict of law provisions.

13. Dispute Resolution

Any disputes arising from these Terms or your use of the Service shall be resolved through binding arbitration, except where prohibited by law.

14. Severability

If any provision of these Terms is found to be unenforceable or invalid, that provision shall be limited or eliminated to the minimum extent necessary, and the remaining provisions shall remain in full force and effect.
